When will my students be removed from my old Course?

All students (unless we receive a request from you), will be removed from your old courses the semester after the course has ended. We will not remove students until after the "Last day to change an Incomplete" deadline has passed. We will send out notification prior to removing students.

How long can my course stay on Blackboard

Courses older than 3 years old are removed from the system at the end of September and February:

Due to the increase usage of Blackboard, we need to remove courses that are more than 3 years old. If you truly need us to keep your course , please contact us at: bboard@notes.cc.sunysb.edu. Those instructors who have courses older than 3 years are notified prior to removal of their course.

I would like to delete my course sooner, what are my options:

As a Blackboard instructor, you have several choices regarding the status of your blackboard course once the semester has ended.

Your choices are:

  1. Remove the course permanently from Stony Brook's Blackboard system
  2. Turn off your access to a course, you will still see the course listed under My Institution, but you will no longer be able to access it*
    *If you choose this option and then wish at some point to access it again, you will have to contact the Blackboard support team.
  3. Keep your course and your access but remove the course from your My Courses Panel

Choice #1 = Permanent Deletion

* When you do this, your class will be permanently deleted! You will not be asked "Are you sure?"

If you are using the Gradebook in Blackboard, you may want to Export your Gradebook so that you have a record of the grades.

Before you do this, you may want to Archive your Course

To Archive your course (Save your course to your Computer or a CD):

  • Step 1: Log into the course that you would like to archive.
  • Step 2: Choose: Control Panel
  • Step 3: Choose: Archive Course (At the bottom left of the screen under Course Options)
    • Wait a few minutes and then you will see a message similar to this (Though the dates will be different):

      Archive Course Receipt
      Click here to download the exported course site.
      With some browsers, you may need to click the right mouse button and select "Save Link As" from the context menu.
      Export Log:
      2003-10-21 10:55:37 - STATUS: The archive operation has completed.

  • Step 4: Right Click on the Underlined link "Click here to download exported course site" and choose save target as to save the file to your computer. MAC users, hold down the button on your mouse until you see that option.

To have your course deleted, change the title of your course to : Please Delete!

  1. Step 1: Log into the course that you no longer want.
  2. Step 2: Go to the Control Panel
  3. Step 3: Choose Settings
  4. Step 4: Choose Course Name and Description
  5. Step 5: Change the Title to: Please Delete ** ONLY DO THIS IF YOU WANT US TO DELETE THE CLASS!

Choice #2= The class stays listed under My Courses but you can no longer access it

Keep in mind that you will still see the course listed under My Institution, but you will no longer be able to access it*

*If you choose this option and then wish at some point to access it again, you will have to contact the Blackboard support team.

Log into the course that you no longer wish to have access to .

** You will need Instructor or TA Access to be able to do this! **

  1. Access the Control Panel
  2. Click "List/Modify Users"
  3. Type in your username, click the Search by Username option, then choose search.
  4. When you find yourself, choose the "Properties button" next to your name
  5. Your profile will come up, scroll down to the bottom and you will see
    # 4. Role and Availability :
    Available (this course only)
  6. If you change the Yes to No, you will no longer be able to access the course.
  7. To gain access again you need to either ask another Instructor in the site to change your status (if there is another instructor). If there is not another instructor, you need to e-mail: bboard@notes.cc.sunysb.edu with the following information:

    Your Name
    Your username
    Course that you need access to

Choice #3 = Removing courses from your "My Course Panel"

If you are teaching a large course with 1 main section and have recitations/labs as well and only wish to use the main section, you can remove courses from your "My Courses" Panel.

Click on the Pencil to the far right of the My Courses Panel

Your screen will change to the "Customize My Courses" view :

You will see your courses listed and you can uncheck those courses that you do not wish to see in your My Courses Panel.

When you wish to access courses that you have removed from the My Courses Panel, you can either add them back to your Panel OR you can click on the Courses Tab at the top of the screen when you log into Blackboard.
